Executive Administrative Assistant

Synerzip is seeking Executive Assistant for location Dallas.

Primary Objective

We are currently seeking an experienced Executive Administrative Assistant to provide support to Executive leadership with emphasis on supporting the CEO and to assure efficient day-to-day operation of the office. Responsibilities include own and update the President’s calendar and be the “gatekeeper” to his office, managing and implementing administrative processes, conducting general front office duties, organizes and executes events and meetings including site selection, travel arrangements and all other logistics and support. This position requires discretion and maintains a high level of confidentiality and critical thinking.

Location: Dallas

I. Overall Demeanor and Aptitude (Required)

  4. Detail-oriented and able to multi-task without dropping any tasks
  5. Comfortable and open minded with culturally diverse workforce – will need to interact regularly with team members in India and team members of Indian origin in US.  Able to deal gracefully with team members who have different accents of spoken English and have different cultural background
  6. Handle customer and employee interactions with courtesy, empathy, an utmost professionalism and a sophisticated manner.
  7. Overall should have positive energy and a pleasant demeanor to maintain a congenial, yet a very professional work environment
  8. Be fun to work with and have a good sense of humor

II. Scheduling Meetings and Maintaining Executive Calendar (Required)

  1. Able to efficiently handle complex meeting scheduling, often with one or more C-level client executives.
  2. Experience handling communications with senior executive and their admin assistants – in-person and via email.
  3. Experience in managing, juggling difficult calendar/scheduling tasks, without letting meeting requests fall thru the cracks.
  4. Ability to handle, arrange complex meeting logistics – locations, parking, travel arrangements, etc.
  5. Experience with common calendar tools like Google Calendar, Microsoft Outlook, and understand their features and limitations to deal with them efficiently.

III.  Proficiency with Office tools (Required)

  1.  Proficient with G Suite – Gmail, Calendar, Hangouts, Drive, Docs, Sheets, Slides, Drive.
  2. Microsoft Office Suite – Word, Excel, PowerPoint, Outlook.

IV. Office Administration Related Responsibilities (Required)

  1. Function as office receptionist to cover phones and greet visitors.  Should be able to work normal office work-hours, i.e. 9am to 5pm, on weekdays.
  2. Book travel and lodging for team members visiting from India.  Have ability, knowledge to negotiate rates etc with long term stay hotels to meet client’s budget needs.
  3. Run errands, order, purchase office supplies, etc.
  4. Occasionally assist visiting team members from India team with general support as they stay in US for a few weeks for project work.
  5. Maintain a tidy, clean and well running professional office in Dallas.

V. IT/Technology Support Related Responsibilities (Nice to have)

  1. Capable of and comfortable with handling simple day-to-day IT support related tasks, such as restarting a wifi router or a computer server.
